This policy explains how Rockbase Media Sdn. Bhd. (202501002791 (1604204-A)) (“Rockbase Media”, “we”) collects, uses, discloses and protects personal data under Malaysia’s Personal Data Protection Act 2010 (PDPA). It covers this website, our clients and enquirers, and people who appear in our productions.

1. What we collect

• Enquiry details you send through our form, email or WhatsApp: name, company, contact details and project information.
• Client and billing details needed to quote, contract, invoice and deliver work.
• Equipment rental details: when you request a rental, your name, contact details, a photo of your MyKad or passport, your agreement to our Rental Terms and your typed signature.
• Images, video and voice of people who appear in productions we make for clients.
• Website usage data such as pages visited and device type, collected through cookies and analytics.

2. Why we use it

• To answer your enquiry and prepare quotes.
• To plan, produce and deliver the work you engage us for.
• To verify the identity of equipment renters and manage rentals, deposits and any loss or damage.
• To invoice, keep records and meet legal and tax obligations.
• To show selected work in our portfolio, where the client has agreed.
• To understand how visitors use this website and improve it.

We do not sell personal data.

3. People in our productions

When you appear on camera, we or our client ask for your consent, usually through a talent release, and your image is used only as that release describes. If you believe you appear in our work without agreeing to it, contact us.

4. Who we share it with

• The client who commissioned the production.
• Freelancers and crew on your project, under confidentiality.
• Service providers who host our website, files, email and messaging, some of whom may store data outside Malaysia.
• Authorities, where the law requires it.

5. Cookies

We use cookies to run the site and measure traffic. Embedded YouTube videos and Google reviews may set their own cookies. You can block or delete cookies in your browser settings.

6. How long we keep it

Enquiry data for as long as needed to respond and follow up; client records for as long as business, legal and tax rules require. ID photos from rental requests are stored privately, seen only by authorised staff, and kept only as long as needed for the rental and any related claim or legal requirement. After that we delete or anonymise it.

7. Security

We take reasonable practical steps to protect personal data, including access controls and limiting access to the people who need it.

8. Your rights

Under the PDPA you may ask to access or correct your data, withdraw consent, or limit how we use it. Contact us and we’ll respond within the time the law requires.
